San Diego Litigation Assistant

The Opportunity

At Glaser Weil, you will work with a team of passionate and driven attorneys and staff on challenging and often high-profile business disputes and complex commercial litigation matters. The successful candidate will have a self-starter mindset, strong integrity and professional demeanor. This position is based in our San Diego office with a hybrid work schedule, requiring four days in-office.

Responsibilities

· Provide standard administrative support for litigation attorneys including San Diego Office Managing Partner and four Associates.

· Answer and screen phones, open and route mail as directed, maintain and organize files, photocopy, maintain calendars, prepare attorney expense reports, submit invoices for payment, schedule complex travel, coordinate meetings, calls and conferences (which may include ordering meals), coordinate with other departments as needed such as scheduling conference rooms with the Firm’s conference services team.

· Anticipate attorney needs by proactively identifying potential issues and conflicts and taking the initiative to offer solutions and preempt needs.

· Provide support for the firm’s monthly billing process, track attorney time records and billing.

· Prepare engagement letters and new client/matter memos and update active client/matter number lists to assist with the new business process leveraging the Firm’s billing system and best practices.

· Utilizes tracking charts for keeping up-to-date records, with a special focus on billing and new business.

· Handle all aspects of document preparation such as correspondence, pleadings, documents and presentations, including revisions, formatting, proof-reading, generating redlines as requested, PDF creation, conversions, and finalizing, all while maintaining consistency and accuracy on time-sensitive, high-profile documents.

· Calculate and calendar court and litigation related deadlines.

· Establish and maintain paper and electronic filing systems; classify, sort and file correspondence, records, and other documents.

· File pleadings in state and federal trial courts, Courts of Appeal, and Supreme Courts; communicate with court staff, as necessary; keep current with changes in court rules and filing procedures.

· Perform general research and support activities to assist attorneys.

· Collaborate and coordinate with appropriate departments to ensure up-to-date, timely and accurate client billing.

· Delegate work to other departments as necessary, coordinating the completion of delegated work, and verifying its accuracy.

· Seek ways of being responsive to clients in a manner that demonstrates the ability to provide superior client service in both small and large ways.

· Utilize applications such as Excel and PowerPoint to facilitate attorney’s work.

· Exhibit strong interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.

· Manage Firm resources responsibly and within the Firm’s guidelines.

· Develop an understanding of Firm operations, policies, and procedures, and consistently demonstrate sound judgment in application of best practices.

· Regular and reliable physical presence to work as part of a team, meet with clients, and use on-site equipment.

· Perform other related duties and special projects as assigned.

Requirements

· 5+ years of experience as a legal assistant with a working knowledge of California litigation.

· Knowledge of preparing, revising and finalizing court documents.

· An understanding of California Civil Procedure, California Rules of Court and local court rules.

· Experience with e-filing in both State and Federal Courts, as well as trial preparation.

· A strong ability to manage multiple tasks or projects with shifting or even competing priorities.

· Demonstrate the ability to schedule meetings with clients, experts, attorneys and co-counsel, including court appearances.

· Excellent grammar, proofreading, attention to detail, and organizational skills.

· Knowledge of Microsoft Office 365, as well as other standard Microsoft products.

· Experience with iManage, Pacer, Adobe Acrobat, Emburse/ChromeRiver, and efiling platforms.

The base compensation range for this position is $100,000 - $110,000. These numbers do not reflect a successful candidate’s total compensation. Base compensation is only the guaranteed component of the total compensation package and does not include discretionary bonuses.
