Business Development and Marketing Administrative Assistant
Opportunity
Glaser Weil is seeking a motivated and detail-oriented Business Development and Marketing Administrative Assistant to support the Firm’s dynamic team. This is an excellent opportunity for a talented administrative professional who is eager to gain hands-on experience and grow their skills within a fast-paced law firm environment. Your work will directly support client development efforts and the Firm’s strategic visibility initiatives.

This position may be fully remote, with the option to work from our Century City office in Los Angeles, and reports to the Chief Business Development and Marketing Officer.
Key Responsibilities
- Provide high-level administrative support to the Chief Business Development and Marketing Officer and the Director of Business Development and Marketing, including scheduling, meeting coordination, travel arrangements and reimbursement processing.
- Prepare weekly and monthly “look‑ahead” calendars, including deadline reminders, meeting prep flags and key follow‑up items.
- Draft initial versions of routine correspondence, internal requests or scheduling emails for executive review.
- Assemble meeting agendas and capture action items, circulating notes and tracking action items.
- Support administrative functions of onboarding and offboarding processes, including coordinating photo shoots and ensuring timely migration of mailing lists and other BD/marketing assets.
- Coordinate procurement, tracking and inventory of business cards and branded materials; follow up on approvals and ensure timely payment processing.
- Respond promptly to requests for business development materials, including attorney biographies, practice descriptions, brochures, pitch books and presentations.
- Organize and track collateral materials, representative matters, client lists and other key marketing assets across team databases.
- Serve as data steward for the Firm’s CRM system, ensuring requested information is promptly entered, data is accurate and current, and records are consistently maintained.
- Generate monthly or quarterly reports from CRM, website analytics (Google Analytics), email marketing platforms or other internal systems.
- Assist with event planning and conference sponsorships, including logistics and materials preparation.
- Assist with light research, including industry updates, client news, competitor activity or background briefs for BD meetings, as needed.
- Manage internal file organization, folder structures and versioning to ensure content is easily accessible.
Qualifications
- Bachelor’s degree required.
- Minimum two years of professional experience, ideally in a law firm or professional services environment.
- Clear written and verbal communication skills, with a polished and professional presence.
- Strong client-service orientation and a demonstrated ability to deliver high-quality work with responsiveness and care.
- Proven ability to manage multiple projects in a fast-paced, deadline-driven environment.
- Highly organized with meticulous attention to detail and strong follow-through.
- Resourceful, quick to learn and comfortable taking initiative.
- Collaborative team player with a positive, “can-do” attitude.
- Ability to adjust work schedule as needed to meet workload demands.
- Proficiency in Microsoft Office Suite required; experience with CRM systems, Canva, Adobe, SharePoint and other marketing automation tools strongly preferred.
- High level of discretion and ability to handle confidential information.
The base compensation range for this position is $60,000 - $70,000. Base compensation is only the guaranteed component of the total compensation package and does not include discretionary bonuses.
